Summary
Highlights
To open an existing SPSS data file, go to 'File', then 'Open', and select 'Data'. Navigate to the file's location, select the '.sav' file (SPSS data file extension), and click 'Open'. Incorrectly selecting a different file type, like 'Syntax', will prevent the data file from appearing.
To perform descriptive statistics, go to 'Analyze', then 'Descriptive Statistics', and select 'Descriptives'. A dialog box will appear where you can select the variables for analysis. Ensure you choose 'Scale' variables (represented by a ruler icon) for this type of analysis. In the 'Options' menu, you can select which statistics to calculate, such as Mean, Standard Deviation, Minimum, Maximum, Variance, and Range. After selecting, click 'Continue' and then 'OK' to generate the results.
SPSS results are displayed in a separate 'Output' window, which primarily contains tables and charts. Key statistics like 'N' (number of cases), Minimum, Maximum, Mean, and Standard Deviation are presented. To save the output, go to 'File', then 'Save As', and choose a location and filename. The output file has an '.spv' extension. You can also encrypt the output file with a password via 'Encrypt File With Password' for security. Be aware that password-protected files require SPSS version 21 or higher to open.
For categorical variables (like gender or social status), frequency analysis is used to determine counts and percentages. Go to 'Analyze', then 'Descriptive Statistics', and select 'Frequencies'. Move the categorical variables to the 'Variables' box and click 'OK'. The output will show the count and percentage of each category.
To analyze descriptive statistics for different groups separately (e.g., males vs. females), use the 'Split File' function. Go to 'Data', then 'Split File'. Select 'Compare groups' and move the grouping variable (e.g., 'Gender' or 'Social Status') to the 'Groups Based On' box. Click 'OK'. Subsequent descriptive analyses will now generate separate tables for each group. To revert to analyzing the entire dataset, go back to 'Data', 'Split File', and select 'Analyze all cases, do not create groups'.
You can switch between the Data View and Output View using the 'Window' menu or the asterisk icon. To share SPSS results with someone who doesn't have SPSS, you can export the output. Go to 'File', then 'Export'. You can export the results in various formats such as Word, PowerPoint, Excel, or PDF.
