Clients can be manually added by a provider, invited via a share link, automatically added when booking an appointment (through a quick share link or unique embedded link), added by a provider when booking an appointment over the phone, or are automatically added when they purchase a package from the provider.
Email templates for client invitation, appointment confirmations, reminders, package purchase confirmations, and program emails can be customized. Reactivation emails can also be set up to re-engage inactive clients after a specified number of days.
Direct communication with clients can be done through the chat feature. Messages can be sent to client groups, individual clients, or a combination of clients and providers. Options include 'community chat' (group text where all participants see responses) and 'message blast' (like BCC on an email, creating individual threads where responses are private).
Providers can customize what clients can access and track globally. This includes client portal settings (viewing/paying bills, scheduling, purchasing packages) and journal entries (food tracking, water intake, metrics like weight, physical activity, selfies, symptoms, notes, mood, and BMI). Integration options like Fitbit can also be enabled. Reminders for goal completion can be set.
Settings can be customized for client groups, overriding global settings. Individual client settings can also be adjusted, overriding both global and group settings. Care plans offer the highest level of customization for journal entry settings, overriding all other settings when active.
The client chart's overview displays client name, email, notification history (showing email, SMS, or push notifications, and reasons for failure), client group, last active date, and duration as a client. A blank 'last active date' indicates the client hasn't finished setting up their account. Quick notes for allergies or medications are also available.
The chart shows upcoming and past appointments, purchased packages, and financial details (last payments, amount owed, credit card info, credit balances). It also displays self-reported medications, recent lab results (via integrations like Change Health & Rupa), insurance eligibility, and program progress. Clients can be 'nudged' to encourage program completion.
The 'Journal' tab displays individual entries of tracked metrics (food, water, BM, mood, etc.), indicating who entered them. Providers can comment or emoji on entries. The 'Metrics' tab provides a visual representation of how tracked information (e.g., weight, body fat) trends over time. 'Goals' shows client-created or provider-created goals, and 'Recommendations' displays full script recommendations, order status, and allows for new product recommendations.
The 'Charting' tab allows viewing and creating charting notes and client form responses, with options to send reminders. 'Documents' allows viewing and uploading client documents, downloading client EHI, and a client summary. 'Billing' shows payment history, options to charge clients, document outside payments, and view invoices, superbills, and CMS 1500s.
The 'Actions' tab allows editing client settings and viewing personal information. Providers can help clients with login issues by confirming their email, sending password reset instructions, or temporarily changing their password. This section also shows client groups, assigned providers, care team members, address, insurance, advanced appointment pricing, linked client accounts, emergency contacts, referring physicians, diagnoses, food allergies/sensitivities, preferences, family history, and implantable devices.
