Highlights
To begin, hover over the 'Add/Edit' menu and click 'Matrix and Edit', or simply click on the menu. To add a new listing, click 'Add New' and then choose the property type (e.g., single-family, townhome). Remember, all rental properties, regardless of type, go into the 'rental' class.
The system defaults to populating property information from tax records. You can also copy data from an existing listing (e.g., an expired listing you're relisting) or start with a blank listing. It's crucial to ensure the accuracy of the information entered into MLS. To import, find the property by owner’s name or address, then click 'Fill'.
The first step is selecting the status: 'Active' or 'Coming Soon'. 'Coming Soon' listings are limited to 14 days before automatically becoming 'Withdrawn'. Next, move to 'Listing Information'. Yellow-highlighted fields are required. Fill these out completely to help consumers and agents search for properties effectively. Use the 'Validate' button at the bottom of the screen to check for any missed required fields.
The 'Map' tab requires latitude and longitude coordinates. Instead of manual entry, use the 'Get Lat Long from address' link to automatically plot the property. If the map is incorrect, contact the MLS department immediately to avoid misrepresenting the listing.
Continue through the tabs, not necessarily in order, but ensuring all required fields are completed. Accurately cite the square footage source. For room dimensions, you are responsible for measuring and entering these. The system will prompt you to enter dimensions for all bedrooms and other livable spaces based on imported data.
'Financial information' includes required fields and various disclosures (e.g., agent owner, pre-foreclosure, seller's disclosure). 'Showing information' requires showing instructions and driving directions. 'Remarks and Tour Links' includes public remarks for consumers (up to 1000 characters, physical descriptions only, no contact info) and agent remarks (up to 550 characters, specific details like gate codes). Virtual tour links 1 and 2 will be public.
You can 'Save as incomplete' at any time to pause and return later. This assigns an MLS number. To go live, click 'Submit Listing'. For photos, use 'Add/Edit Photo'. You can import photos from previous listings (e.g., for relisted or for-sale/for-lease properties). Add descriptions for each photo to enhance marketing. Attached documents (e.g., seller's disclosure) can be uploaded with a 30MB cumulative limit. Distinguish between agent-only and public documents; public documents cannot contain contact information.
To edit, go back to the 'Add/Edit' menu and select 'Edit a listing'. You can choose the property from a dropdown or by MLS number. This allows you to modify text fields, change listing status, manage tour links, photos, and attachments. Once submitted, the listing will be live on har.com within approximately two hours and distributed to other websites within 24 hours. Broker control dictates distribution to other sites; consult your broker for details.
